Role

Main Purpose of the job: To provide administrative coordination and support to the Council’s resourcing and talent acquisition consultancy service for all aspects of employee resourcing (permanent and agency), covering the end-to-end recruitment life cycle. To keep an administrative overview of Resourcing and Talent acquisition processes and systems to ensure clients and members of the team experience a quality, day-to-day service: prompting and reminding both parties about deadlines and requirements to ensure services are delivered to time and quality. To gather and collate data used to monitor, drive and improve services to customers. To build and maintain effective working relationships with members of the resourcing and talent acquisition team, helping them to ensure high quality delivery to service end-users

Summary of Responsibilities and Personal Duties: To work closely with  Resourcing and Talent Acquisition Advisers   to understand the needs of their hiring managers and to support their delivery of the agreed most suitable attraction methods. Also, to support their choices of selection methods and support the organisation, ordering and (where necessary) secure storage – digital and/or physical - of those assessments. To liaise with advertising partners on the instruction of the  Resourcing and Talent Acquisition Advisers, e.g., written amendments to agreed copy.   Likewise for social media content, as directed by the  Resourcing and Talent Acquisition Advisers and Manager To provide administrative support for the life cycle of all recruitment campaigns assigned, to ensure  Resourcing and Talent Acquisition Advisers and Manager   timetables are tracked and hiring managers and candidates are kept informed of any changes to the timetable as instructed by the assigned Talent Acquisition team lead for that assignment. To provide recruitment administration activities that ensure candidates are kept engaged and informed throughout the agreed recruitment and onboarding processes To provide administrative support for the organisation and delivery of recruitment training and induction events, engagement activities, job fairs and diversity and inclusion initiatives. Upload and edit the council’s intranet in relation to recruitment and selection as instructed by Advisers and/or the Talent Acquisition Manager, helping to ensure all content is kept up to date. To respond to service-related queries referring to Resourcing and Talent Acquisition Advisers as necessary. To maintain the tracking of redeployment activity reporting on activity and where there is a need for interventions by the Resourcing and Talent Acquisition Advisers. To diary interview panels and organise relevant documentation as instructed by the Resourcing and Talent Acquisition Advisers and Manager. To maintain the recruitment tracking system: keeping it up to date, running reports as requested and support the introduction of upgrades to the system as required. To collaborate and work closely with the team and providing reports on key recruitment metrics and contribute to and take an active administrative role in projects as required. To contribute positively to the promotion and championing of diversity and inclusion by the resourcing and talent acquisition team. To promote and support effective team working through good communication and positive attendance and contribution to meetings as required. To ensure administrative tasks are delivered with high levels of customer satisfaction in terms of responsiveness and quality of delivery, learning from experience and best practice to ensure continuous improvement.

Internal Contacts : These include all staff across the council according to need, to provide excellent customer service External Contacts : This will include advertising partners, executive search consultants, external agency worker suppliers, occupational health, DBS barring service, recruitment system provider e.g., Oracle, London Councils and LGA. To carry out the duties of the post with due regard to the Council’s relevant codes and procedures. All employees are required to participate in the Council’s Appraisal process and to undertake appropriate training and development identified to enhance their work. Undertake other duties, commensurate with the grade, as may reasonably be required. Consideration will be given to restructuring the duties of this post for a disabled postholder

Experience of dealing with all administrative aspects

Experience supporting managers in delivering effective services to customers/end-users.

Experience of administering and monitoring an Applicant Tracking system

Experience of working in an HR department in a customer focused organisation.

Experience in screening and shortlisting candidates

Aptitudes & Skills

Strong communication skills - able to write clearly and succinctly and to speak confidently and articulately to a diverse group of (internal) customers, suppliers and residents/applicants.

Ability to organise and prioritise workload; effectively managing time with a focus on delivery positive outcomes for end-users.

Ability to use information technology including MS Office and financial and HR management systems (e.g. Oracle Recruitment Cloud)

Good project management knowledge: with ability to monitor progress and alert colleagues to deadlines and actions required, and to do so in a timely way.

Able to work outside normal office hours; and to work beyond minimum hours as and when required to achieve deadlines.

Physical Generally, must meet standard LB Lewisham requirements for the post.
