Organisational information Responsible to: Anwen Paull - In Work Support Programme Manager Key relationships/Functional links with: Staff at all levels including - Triage Officers, Employment Mentors, Engagement Officers, Manager. Externally, partner organistions including the Job Centre / Work Coaches, Careers Wales, training provider Main Purpose of Job: Rhondda Cynon Taf Council is seeking a motivated and organised Triage Officer to join the Work and Skills team. This is a key front-facing role supporting the delivery of employment and skills programmes, with particular emphasis on pre-employability and in work poverty support and engaging residents who are furthest from the labour market ,in employment and/or part of priority cohorts. You will act as the initial point of contact for referrals, ensuring individuals are supported by the most appropriate service both within the Council and across partner provision. The role combines Triage, Administration, Finance, and light client support, working closely with Mentors, Engagement Workers, In-Work Support staff and external partners. Experience working in a frontline, customer facing or community based role, administartion skills and supporting individuals with diverse needs is required Main Responsibilities / Accountabilities
To support the Work and Skills delivery team in the development, implementation, and ongoing operation of pre-employment related support within the County. To act as a first point of contact by telephone, email and within community settings.
To provide administrative support for monitoring, updating of client records, performance management information, reports and other monitoring requirements to ensure all monitoring is accurate and compliant in accordance with audit requirements.
To have responsibility for administrative co-ordination of incoming referrals, assisting the team with the development of comprehensive support plans and co-ordinate and arrange appointments with clients for furtherassessment and regular reviews as and when required.
To assist with the ongoing development of processes and systems which support the delivery of the Programme across Rhondda Cynon Taf in conjunction with the Work and Skills Programme Co-ordinators.
To engage in and support the team to follow safe lone-working practices, offering support across a range of community venues and home visiting where required.
Maintain up-to-date individual client records using prescribed systems, such as Capita-One, running system reports to provide performance data as and when required.
Processing orders and invoices in accordance with financial regulations and procedures, including office stationery. To book training for clients as needed and provide client support as needed, working alongside CfW+ to avoid duplication of support.
Assisting with the organisation of events and meetings, preparing and distributing agendas, taking minutes and following up action points.
Management of a central mailbox and facilitation of Social Media pages, managing general queries, self-referrals and appointment booking system.
To triage referred and self-referred clients to ensure they are assigned the most appropriate support from within and external to the team.
To work as part of an integrated team alongside the Work and Skills Mentor/Key Workers, Engagement Workers, the In Work Support Team and the wider RCTCBC Employment Support teams, including CfW+.
To work closely with the Work and Skills Compliance Officer to ensure integrity, consistency and accuracy of all project-associated paperwork to ensure all produced documents are compliant with external guidelines.
To ensure that all personal data is effectively protected and handled, within locally agreed Information Sharing Protocols and in adherence to GDPR.
To maintain close working relationships with the community, agencies and other organisations.
To carry out health and safety responsibilities in accordance with the Division’s Health & Safety Responsibilities document.
To undertake such other duties and responsibilities commensurate with the grade, as may be reasonably required by the Service Director, or as a mutually agreed development opportunity.
To support the Council to play its part in tackling Climate Change and meeting its Carbon Reduction targets across the services it delivers and also in the goods and services it buys or commissions from other organisations.

Any person with concerns regarding the safety of a child or adult at risk, OR the behaviour of a colleague towards a child or adult at risk, has a responsibility to report this immediately. This should be done via the person’s Line Manager, Designated Safeguarding Lead or contact the Cwm Taf Multi Agency Safeguarding Hub.
