Brief Description of job role and department
Although full training will be provided you need to have some knowledge of Microsoft Outlook and Google Suite apps like Google Docs, Google Sheets, Gmail and Google Drive will be required. Within this position you will be predominantly working within finance applications. Processes and procedures are available at all times and in house training will be provided throughout your time as a Business Support Officer. Day-to-day tasks will include: General administrative and clerical duties Reception cover Minute-taking for virtual and in-person meetings Processing financial requests Data input and record-keeping across council systems Saving down authorisations on google drive Training on no recourse to public funds payments and the NRPF connect database platform Training on passport applications via passport office. Representative accountabilities
Key Responsibilities Provide admin and clerical support to managers and pod leads Welcome visitors and carry out reception duties Ensure the scheduled appointments go ahead and manage room bookings Process financial requests requested by the social workers as well set suppliers and raise purchase orders through corporate system, Business World, formally Agresso. Maintain data in Google Suite and Mosaic systems Draft and format documents, take minutes at meetings Support the team in meeting deadlines and achieving service targets Ensure compliance with council policies and procedures Offering training meetings with new social workers to explain what we offer within this team and how to complete each request Attending any meetings schedule in with your line manager, that includes team catch ups, weekly catch ups, supervisions and appraisal meetings

Person specification (knowledge, skills, experience and behaviours required in the role)
Essential: Proficiency in Google Suite (Docs, Sheets, Forms, Drive) Typing speed: minimum 50 words per minute Experience processing financial or administrative requests Strong communicating skills allowing you to communicate with colleagues and where required suppliers or customers, either in person or via email in a professional manner and in line with the councils policies and procedures Flexible and adaptable, able to work across multiple sites in Sutton Being ready for any other administrative tasks that are required Able to work to deadlines and as part of a team Keep the councils computer databases Mosaic up to date when required Being able to research company data and archived reports and files accordingly
